WHH is working in the fields of development cooperation and humanitarian aid, relief aid, rehabilitation and reconstruction.

 

Overall Role:

Under the supervision of the Expert(s) Financial Administration, the Finance Assistant is responsible for the following tasks:

 

  • Ensure the cash management by being responsible of the cash-boxes: guarantee that the money is disbursed and/or the advances given according to the rules, and from the right cash-boxes and allocated on the relevant project(s)
  • Regular cash reconciliation (ensuring that physical cash balances are matching cashbook records)
  • Collect the relevant supportive documents in regards to the expenses / purchase / payments done in the field
  • Assist in the project’s / program’s financial administration
    • Provide necessary data to monitor the cash-flow situation and plan the project’s/programme’s (Annual/monthly) finances
    • Assist in monitoring expenditures/cost (cost type and cost category) with regard to the budget
    • Prepare the necessary documention for banking transactions (deposit cash or cheque, cash cheques, collect monthly bank statement etc.)
    • Assist in preparing and controlling vouchers of the project/programme official and country office
    • Follow up on and arrange for a/c receivables and payables settlement(e.g. payment of utilities)
    • Bill private telephone, vehicle use etc.
    • Provide necessary documents and reports for internal controlling
  • the follow-up of the advances given
  • Inform on a regular basis if there are enough funds in the cash-boxes for all projects
  • Guarantee that the exchange of currency is done properly and from a reliable change office
  • Check the vouchers and the relevant supportive documents (quality, authenticity, reliability, accuracy and fairness)
  • Participate, if need, to the major payments which have to be done in the field
  • Daily register of vouchers in the accounting software and prepare vouchers for booking
  • Ensure due payments for all items and services (after approval) and advances
  • Guarantee the respect of Welthungerhilfe’s financial guidelines and procedures
  • Ensure that Turkish Accounting Rules are met with each voucher/ transaction done by the Finance Assistant
  • Management of the support staff and any service contractor working for the office and the guest house (electrician, plumber, etc.) as well as casual workers
  • Organize the selection and hiring of service contractors related to the office and the guest house as well as the selection and hiring of any casual worker
  • Monitor the payment of the utility invoices for the office and, where applicable, the guest house
  • Monitor the office supplies and consumables stock and purchase the necessary items
  • Contribute, by supporting the logistics department, to the organization of the cars by co-ordinating the journeys in way to ensure the best efficiency in the use of the drivers and cars, allowing project activities while making sure the necessary travels are done.

In addition to the above, the Finance Assistant might be asked to carry out other duties requested by other relevant staff or units within WHH Turkey.

Required Qualifications:      

  • Position open to Turkish nationals only
  • Education: Bachelor’s Degree in Business, Accounting or Economics, or a relevant vocational training
  • Work Experience: 1 to 2 years professional experience in a similar position, preferably in a non-profit organization
  • Skills/knowledge: Knowledge of MS Excel and experience in using accounting software
  • Social Skills; Communicates and Liaises with others, capacity for team work
  • Language Skills: Native or fluent Turkish and fluent English (written & spoken)

 

The Finance Assistant will be obliged to maintain confidentiality regarding all information obtained in the course of his/her work during the employment at Welthungerhilfe and thereafter.
