Functions

  • Releasing payments related to HR and Admin (notary payments, utility payments, office needs, travel agent, hotel booking invoices and etc.) and following expenses for Turkey offices and GHs
  • Following up premises (GHs and offices) rental & consultancy contracts (lawyer, accountant, H&S and etc.) for Turkey
  • Updating global area rent follow up for Turkey
  • Arranging air travel and accommodations in Turkey for business travelers (Flight&hotel booking, GH arrangements)
  • Searching for new GHs for Turkey, ordering inventory buying and other needs when need be
  • Preparing regular financial and administrative reports related to Administrative tasks within mission
  • Updating booking sheet of Antakya meeting room on a monthly basis
  • Supervising cleaners, making their daily/weekly/monthly working plans, controlling and updating cleaning checklists
  • Organizing in-house or external events, ordering snacks for meetings
  • Ordering Business cards
  • Following up H&S processes in Turkey in coordination with liaison, taking necessary actions from Admin side
  • Tenders application printing and submitting to Logistics
  • Printing and distribution of employee ID cards
  • Supporting department in other daily activities and performing other duties as requested


 

Qualifications, Skills and Competencies

  • Min. Associate’s Degree in a related field
  • Prior administrative experience in office admin roles (min 2 years)
  • Proficiency in MS Office (MS Excel, MS Word, and MS PowerPoint, in particular)
  • Working knowledge of office equipment, like printers and fax machines
  • Strong organizational skills, time management and the ability to prioritize work
  • Desire to be proactive and create positive relations with others
  • Ability to adjust to unexpected urgent matters
  • Ability to support both external and internal stakeholders through accurate reporting
  • Desire to be proactive and create positive relations with others
  • Fluency in Turkish and English is required, Multilingual is preferred
