Administrative Assistant

 

Position Summary

Administrative Assistant provides day-to-day administrative support in the area of office administration to maintain efficiency in the daily operation of the office.  

 

Location

Istanbul, Turkey

 

Reporting Line and Responsibility

The Administration Assistant will be based in Istanbul, Turkey and will report to the Operations and HR Coordinator.

 

Specific duties and responsibilities include but are not limited to:

●      Coordinate the daily office management, including logistical and administrative support.

●      Serve as the first point of contact for all administrative and office related questions.

●      Under the direction of the Operations and HR Coordinator, prepare purchase request forms, review invoices, draft payment requests for operational expenses, office supplies and stationery.

●      To Keep office documentations and filing systems up to date

●      Manage the company’s employee and emergency contact list.

●      Track leave requests and maintain leave trackers.

●      Coordinate domestic travel and hotel arrangements related to company activities. Ensure all travel requests are responded timely, efficiently and arrangements are in compliance with company procedures.

●      Perform filing, organizing and other administrative duties as requested, including maintaining a thorough document retention system for both HR and company files in accordance with the Data Protection Law.

●      Assist the finance department on an as needed basis.

●      Support all staff in needs relating to travel, visas, insurance, work and residence permits, Turkish-language service providers (such as personal phone and internet issues) etc.

●      Other administrative duties as requested.

●      Translate documents between Turkish / English as needed.

●      Other related administrative duties as seen necessary by the line manager.

 

Required Skills and Qualifications:

●      At least 1 year of experience working as an administrative assistant. 

●      Advanced English in both reading, writing and speaking. The company’s official language is English. 

●      Proficient in Microsoft Office Programs.

●      Bachelor’s degree in relevant field

●      Must be able to function comfortably in a complex work environment, working and prioritizing multiple tasks.
