About Maya Vakfı

Maya Vakfı is a non-profit organization that offers mental health and psycho-social support (MHPSS) to refugee and host community children who have experienced traumatic life events, including challenging socio-economic conditions, domestic abuse, immigration due to war, and/or losing loved ones to violence. Maya Vakfı provides trauma rehabilitation activities for children in the Balat Field Office through creative workshops which give opportunities for these children to express themselves through art, music, dance and movement activities to help them cope with their trauma and aid with their recovery. In addition, Maya also places great importance on integrating Psychosocial Support techniques into the education system under the umbrella of Education Program. The Education Program currently concentrates around two complementary areas. While, one pillar focuses on extending the concept of Trauma Informed Schools together with its implications and practices within the public schools, the second pillar is designed to contribute social cohesion within the school environment with a specific focus on peer-bullying . Strengthening the knowledge and know-how of civil servants and the civil society sector is enhanced through Capacity Building Initiatives and through its Volunteer Program Maya Vakfı provides training, support and mentoring to volunteers on Psychosocial Support, trauma rehabilitation and child protection.

With a holistic approach, Maya Vakfi’s Education Program aims to provide technical assistance as well as capacity building opportunities via various trainings on trauma and PSS related topics as well as bullying and social cohesion to the school staff. Moreover, the Program also comprehends tailor made tools targeting children as well as caregivers such as psycho-social and psycho-education sessions for children, positive parenting seminars for parents, and activities to prevent bullying in schools. In cooperation with the Ministry of National Education (MoNE), Maya Vakfi has authorization to implement the Education Program in seven provinces across Turkey.

Scope of the Position:

Collaboration: Associate Director of Operations works in direct coordination with Programs Director, Finance Coordinator, Human Resources Officer, Procurement and Logistics Coordinator and Grants and Communications Coordinator

Reports to: General Director

Main Responsibilities:

• Ensuring functional and strategic supervision of Support Units (Finance, Human Resources, Procurement and Logistics Departments)
• Acting as a liaision between Support Units and Upper Management
• Coaching day-to-day operations of Support Units, internal and external control of the mission processes in close coordination with Support Unit Coordinators
• Providing support to legal and administrative setup of Maya Vakfı
• Ensuring effective and regular communication among support units’ coordinators
• Supporting the overall production, development and implementation of mission guideliness and key procedures
• Regulating periodical training and orientation of Maya Vakfı staff on mission processes and guidelines
• Identifying the need for corrective actions when necessary and provision of an effective action plan
• Engaging and coordinating with program coordinators accross the organisation
• Providing regular reports on productivity and other performance indicators to senior management
• Ensuring all necessary legal steps to be taken throughout the overall mission processes of Support Units in close coordination with the General Manager and Tax Director of Maya Vakfı
• Organisational representation in relevant internal and external meetings
• Acting as a deputy coordinator in the abscence of Support Units’ coordinators

Required Qualifications:

• University degree (Undergraduate or Graduate) in Business Administration, Economy and Accounting Departments or other related Social Sciences
• Minimum 7 years of experience in NGO sector and Humanitarian Context
• Minimum 5 years of managerial and administrative experience
• Minimum 5 years of experience in Project budgeting and financial reporting to various donors
• Experience in multi-budgeted finance and operations
• Excellent command on written and oral Turkish and English
• Proficiency with MS Office programs
• Excellent organisational skills in inter-departmental communication, planning and coordination
• Analytical approach and critical thinking in overall management process
• Ability to understand socio-cultural, political and economic context
• Ability to establish effective personal communication at all levels throughout everyday operational process
• Ability to work in flexible locations and travel when needed

Assets:

• Knowledge on UN Units’ procedures on funding and Project implementation requirements
• Experience in child protection field in NGO’s and INGO’s
• Having experience in working with/at government offices and institutions such as MoNE, MoFLSS
