Job Summary

The Office Helper’s overall responsibility is to ensure that the general work environment is kept tiding at all time. He is to assist to follow up and ensure office utilities, internal control, visitors/workshops logistics are provided. As part of the CARE administration team, the Office Helper position undertakes and assist in all administration tasks and requirements, provides support to staff, to programs, and to implement administration team projects. The position will report to the Admin Officer but will support the CARE management team were necessary. The core areas of performance for this position are: • customer orientation • quality and timeliness of support provided; • observance of policies and procedures; • maintenance of relationships; • Communication and interpersonal skills.

 

Job Responsibilities

 

   I.        RESPONSIBILITIES AND TASKS

Job Responsibility #1: Ensure office space is kept tidy.   40%

  • General cleaning of all office floors
  • Dusting and cleaning of all furniture (Bookshelves, Photo frames, Cabinet, Printers, Computers etc.)
  • Emptying and cleaning of all dustbins, shredders, and ash trays
  • General cleaning of all glass doors and windows
  • General cleaning of all partition and wooden doors.
  • General cleaning of all electrical gadgets (Light fittings, electrical switches, A/C Vents etc.)
  • Cleaning of all Carpeted floor where available
  • Washing of all hard floors (Marble, granite, Terrazzo, and Ceramic tiles) and all corridors and stairways
  • General cleaning and disinfecting of all toilets (WCs, Urinal bowls, Wash-hand basins and showers)
  • Washing of all walls finishing and tiles
  • General cleaning and removal of cobwebs from all ceilings and corridors
  • General cleaning of the designated areas for cleaning and litter control of the surrounding.

 

Job Responsibility #2: Ensure routine sanitation. 15%

Weekly Schedule

  • Buffing, Scrubbing, and polishing of hard floors and walls.
  • Cleaning and polishing of all wooden and metal surfaces.
  • Removal of cobwebs
  • Cleaning of all ceiling and A/C Vents
  • Cleaning of window frames and glass

Monthly Schedule

  • Cleaning of internal light fittings
  • Cleaning of windowsills

Quarterly Schedule

  • Dusting/cleaning of lights and fittings including air conditioners grill, all surfaces, and objects.
  • Washing and shampooing of carpets where necessary
  • Polishing of all wooden surface

 

Job Responsibility #3: Ensure the guest house is kept tidy 20%

  • General cleaning of all rooms in the guest house
  • Dusting and cleaning of all furniture (Bookshelves, Photo frames, Cabinet, electronics)
  • Emptying and cleaning of all dustbins
  • General cleaning of all glass doors and windows
  • General cleaning of all partition and wooden doors.
  • General cleaning of all electrical gadgets (Light fittings, electrical switches, A/C Vents etc.)
  • General cleaning and disinfecting of all toilets (WCs, Urinal bowls, Wash-hand basins and showers)
  • Washing of all wall finishing and tiles
  • General cleaning and removal of cobwebs from all ceilings and corridors
  • General cleaning of the designated areas for cleaning and litter control of the surrounding.

 

Job Responsibility #4: Clerical Functions 20%

·       Compile, copy, sort, and file records of office activities, business transactions, and other activities

·       Operate office machines, such as photocopiers and scanners and personal computers

·       Deliver messages and run errands

·       Inventory and order materials, supplies, and services

·       Count, weigh, measure, and/or organize materials

·       Troubleshoot problems involving office equipment, such as computer hardware and software

 

Job Responsibility #5:  Perform other duties as assigned 5%

Qualifications (Know-How)

Education/Training

Required

  • Minimum of Secondary School Leaving Certificate 

Experience

Required

  •    1 – 2 years progressively responsible experience in related field.

Desired

  • Previous experience working with an INGO or a Development organization.

Technical Requirements

Required

  • Excellent organizing skills
  • Ability to exercise independent judgment and work with minimum supervision.

Desired

  •  Working knowledge of INGO is an advantage.
