Job Purpose
The Communications Assistant reports to the Communications’ Coordinator and follows the technical direction and guidance of the Senior Communications and Learning Officer in the provision of quality administrative services for the IFRC delegation in Türkiye.
This position performs key tasks in the areas of Communication planning and project administration, with an emphasis on optimal performance, timely action, and proactive attitude.
Job Duties and Responsibilities
The overall objective of the Communications Assistant responsibilities and tasks is to provide optimal support for the successful implementation of the IFRC Türkiye above standard visibility and communications plan.
Support communication management and product design
- Support on ensuring adequate IFRC and donor visibility requirements including but not limited to supporting the design of visibility items and administering the branding folder and content platforms
- Support the preparation of monthly communications meetings, including the development of power point presentations and other logistical support. Note taking in key meetings and upkeep the meeting log frame
- Support in the development and coordination of media and field visits including coordinating all administrative and logistical tasks as necessary
- Support coordination on the AV database, organize archive and required documentation
- Support in the development of IFRC monthly editorial plans as needed
Support event coordination and management
- Support the organisation of events, seminars, workshops, and trainings as agreed with the Communications Coordinator and Senior Communications and Learning Officer
- Support online and face-to-face events including but not limited to setting up session delivery platforms, collecting pre-event data, liaising with speakers, consultants, trainers and participants
- Support in the collection and development of pre and post event data/content
- Ensure the proper and timely filling of key documents, presentations and correspondence as required
General administration
- Be responsible for ensuring the good administration of all communication projects including support in managing the department’s procurement and financial plan; coordinating program logistics with relevant departments; filing travel authorization forms and other administrative tasks as requested
- Support managing contractual obligations with external service providers, including graphic designers and editor agencies ensuring the timely delivery of monthly products
- Coordinate with other departments ensuring the timely procurement of shared projects and overseeing all related administrative tasks
- Preparation of payment authorization for hotels, flights, customs, apartment rents, utilities, mobile bills, and internet
- Manage the departments physical and digital files
- Other related administrative duties as seen necessary by the line manager and management.

- Perform any other work related duties and responsibilities that may be assigned by the line manager
Education
Required
- University degree in relevant area
- Basic technical education/training in media and communications, AV or related
Experience
Required
- At least 3 years of experience in administrative job
- Relevant work experience in communications and/or event production
Preferred
- Work experience with RC/RC
- Work experience with other international non-governmental organization (INGO) or humanitarian and/or human rights organization
