Ad Description

This position is going to be working in one of UGDD’s international partnership programs providing
medical humanitarian support in Turkey & Syria.
MAIN PURPOSE
Human Resources: Responsible of ensuring that UGDD is a responsible employer, supports proper
management of HR across the board and assumes full responsibility of all administrative and legal
issues.
Finance: Coordinating and supervising the accounting (accounting, treasury, audit procedures, etc.) in
compliance with legal obligations and UGDD standards and protocols in order to provide quality, reliable
and transparent information to the organization on the use and allocation of resources in the mission.
ACCOUNTABILITIES
Human Resources:
- Know labor legislation in force in the country; keep her/himself informed of any amendment made in
labor legislation by checking legislation sources and/or regularly meeting with lawyer other local
authorities.
- Know UGDD policies, procedures, tools, standards, and principles regarding all staffs’ working
conditions, benefits and remuneration, job profiles and function grids, health coverage, etc. Adapts them
to the reality and ensures an efficient, transparent, fair, and accountable implementation by all relevant
staff.
- Responsible for the proper implementation and follow-up of internal regulations and terms of
employment contracts of all national staff, ensuring that all staff is employed in the frame of fair labor
conditions, and according to local legislation, UGDD HR vision, values, and principles.
- Ensures regular administrative meetings with all staff take place in order to ensure they are aware and
respect their rights and duties and to inform them of any change in labor legislation and general
employment framework which may affect them (i.e., legal amendments, changes in local practices, new
HR/Admin policies or procedures, amendments to internal regulations, etc.).
- Planning and supervising the associated processes (recruitment, training/induction, evaluation, potential
detection, development, and communication) in order to ensure both the sizing and the amount of
knowledge required and to improve people's capabilities.
- Ensure an efficient filing system (physical and electronic files) of all administrative files, granting strict
confidentiality of employees’ personal files and other administrative private documents and ensuring
preparedness in case of evacuation.

Finance:
- Responsible for quality and timely accounting, such as cash procedures, bank accounts, receipts and
supporting documents, electronic data entry, consolidation of overall mission accounting, monthly
closing process and documents, ensuring strict respect of deadlines and strict compliance to UGDD
guidelines, financial standards, and procedures.
- Coordinating and overseeing the monthly and yearly closing of accounts and balance sheet, and
reporting the mission's accounting statement through monthly and weekly reports, in order to verify the
evolution of project finances and provide information about them
- Being responsible for the financial management of donor contracts e.g., preparing and verifying the
financial reports to donors, following up and analyzing the need for amendments. Ensuring reporting
conditions are met and stakeholders in the mission are informed of their responsibilities.
- Coordinating and overseeing the payment of tax liabilities in order to comply with legal obligations and
supervising the conduct of local audits relating to accounting, tax, labor, stock, and asset management.
- Is the technical reference for any accounting-related issue including compliance with UGDD financial
standards and procedures, legal compliance, training, and support on the UGDD accounting software.

EDUCATION
Degree in administration related studies.
EXPERIENCE
Working experience of at least three years in administration.
LANGUAGES
Advanced Level English & Turkish is essential, Arabic is desirable
SALARY & BENEFITS
Monthly Gross Salary for this position is 84,252 TRY
25 days annual leave

LOCATION
Based in Gaziantep, 09:00 to 18:00 working from the office 5 days a week.
