Role Purpose:  

The Education and Society Strategic Business Unit (SBU) Assistant is expected to provide administrative support to the effective running of the projects across the Education and Society SBU.

Main Accountabilities:
Overall support to the Education and Society SBU

  • Assisting in stakeholder analysis tasks and supporting tendering processes
  • Preparing the marketing and communications briefs for projects
  • Translating and proofreading of documents

Operational Delivery

  • Assisting in organising events, arranging travel and accommodation arrangements for speakers and consultants, following up RSVP for events, and coordination of outsourced services
  • Supporting marketing and communication procedures of events
  • Prepare contracts in liaison with the Event and Operations Manager for events and send these to the relevant parties
  • Assisting in correspondence with stakeholders by sending emails, invitations and following up actions
  • Coordinating the printing process of materials (brochures, business cards, posters, invitations, roll-up banners, bags, event branding and other stationery)
  • Ensure safeguarding and guidelines are applied in line with standards and policy for the following areas:
    • Child protection
    • Equality Diversity and Inclusion
    • Health and safety
    • Environmental Framework

Financial Responsibilities

  • Being responsible for converting Purchase Requisitions into Purchase Orders, creating Purchase Orders and creating vendors
  • Keeping track of Purchase To Pay processes in strict accordance with corporate guidelines
  • Ensure a consistent, best practice approach to procurement across the SBU in line with Procurement Policy and Governance
  • Filing relevant documentation for purchases
  • Entering planning and audience audit figures

  • This is a fixed term position for 2 years with possibility of extension
