BINAA is looking for an Executive Secretary, based in Gaziantep/Turkey to provide necessary administrative and logistical support to the supervisor.

General Responsibilities:

  • Monitor, screen, respond to and distribute incoming communications to the supervisor to identify priority matters that need to be addressed by the supervisor and propose actions.
    • Prepare required action points and summarize main points and priorities.
    • Analyze supporting documentation and summarize most relevant points for the supervisor.
    • Ensure that appropriate action is taken by responsible senior managers on matters brought to the attention of the supervisor.
  • Contribute to the management and maintenance of the supervisor’s schedules, appointments, and correspondence
  • Follow-up on decisions and instructions presented by the supervisor.
  • Coordinate and follow-up with related managers and employees within deadlines, prepare necessary documents for review and signature and prepare all required input for making decisions.
  • Assist the supervisor in the preparation of executive orders, administrative resolutions, reward and warning letters and briefing notes.
  • Assist in developing, reviewing and updating the organization’s policies and practices that ensure smooth flow of administrative operations.
  • Prepare and/or assist the supervisor in the preparation of weekly, monthly and quarterly reports, and ensure all points are covered in a proper and accurate manner. 
  • Prepare, arrange, coordinate and schedule supervisor’s meetings.
    • Ensure that the supervisor is prepared for meetings by preparing input, drafting talking points, researching relevant information, preparing presentations and other required documents.
    • Accompany the supervisor to meetings in order to prepare notes on the discussions.
    • Take, document and report minutes of meetings
    • Track progress on agreed issues, follow-up with focal points on deadlines, commitments made, actions taken, and coordination of collection and submission of reports and requests for information.
  • Ensure flow of information within Binaa by disseminating relevant communications to senior managers and all staff as required.
  • Archive all supervisor’s documents, reports and incoming communication in an organized manner (both manually and electronically).
  • Ensure that high-level visitors are appropriately received and addressed.
  • Ensure all received communication, letters and orders are properly signed by the supervisor and forwarded back to related staff members.
  • Coordinate with officer workers to ensure the supervisor’s office is properly cleaned and organized.

Knowledge, Experience and Skills

Essential:

  • High School Degree.
  • At least 3 year of related experience in a similar position.
  • Advanced skills in the English language.
  • Verified experience in humanitarian work and principles.

Desirable:

  • Bachelor Degree in English Literature, Business Administration or any other relevant field.

Required Technical Competencies

  • Advanced level of office management. 
  • Basic level of professionalism.
  • Advanced knowledge in report writing.
  • Advanced level in Excel, Word, PowerPoint.
  • Basic knowledge in archiving.
  • Good knowledge in project management.

General requirements

  • Residence permit in Turkey (Applicants with Turkish nationalities will be prioritized)
