General Functions:

 

“IOM Istanbul Office is seeking for a Finance Assistant who will be providing Finance Support Services to Mission’s activities. The position is under the overall supervision of Head of Sub-Office in Istanbul and direct supervision of the Resource Management Officer in Istanbul.”

 

Major Duties and Responsibilities:

 

 

1.            Review and verify supporting documents for all payment request submitted to

Finance. Ensure correctness of disbursements and adherence to IOM accounting

rules and procedures.

2.            Ascertain that equipment. supplies and services are delivered before any payment is initiated.

3.            Assist in entering transit service fees on a regular basis and ensure that all income is captured using month end statistics provided by the Operations unit.

4.            In coordination with Procurement or Operations unit, initiate MIRO to all issued

airiir1e tickets, Purchase Order at the end of the month.

5.            Enter Transactions in PRISM with correct GL and apply proper distribution of cost as per WBS Provided in the payment request. Check budget in PRISM whenever possible.

6.            Enter transactions in system using proper t-code, GL and WBS.

7.            Assist IOM Ankara during monthly closure accounts by ensuring all outstanding Finance Issues in Istanbul are cleared.

8.            Reconcile and review payable/receivable vendor's account and ensure clearing procedure have been made on specific time according to contract or PO. Follow up with outstanding advances.

9.            Review vendor account and ensure proper coordination to clear outstanding balance at the end of the month.

10.          Monitor and follow up with procurement department for Clearance of outstanding PO before the closure of each month account

11.          Coordinate the transmission of supporting documents to Ankara and ensure that copies are retained in Istanbul for audit purposes.

12.          Participate in improving internal controls systems, the efficiency and timely delivery of finance services in the sub-office.

13.          Ensure travel claim by the staff are in accordance with IOM travel guidelines and correct DSA rates are used, monthly exchange rate is applied, and proper supporting documentation are provided for each claim.

14.          Keeps up-to-date on documents/reports/guidelines that have a bearing on matters related to programme, ensuring compliance with IOM policies and procedures

15.          Perform other related duties as may be assigned.

 

 

 

Required Qualifications and Experience:

 

  • Holding a Degree (BA), especially in the Finance or related areas
  • At least two to three years of working experience (Experience in Finance or related departments are advantageous)
  • Working knowledge of SAP is advantageous
  • Fluency in English is required, fluency in Turkish is advantageous
  • Able to start as soon as possible
