Under the overall supervision Resource Management Officer in Istanbul and direct supervision of National Human Resources Officer in Ankara, the incumbent will provide Human Resources support to IOM Istanbul Office.
Major Duties and Responsibilities:
1. Verify all supporting documentation and signatures are obtained before finalizing vouchers; assist in verifying In coordination with the HR main Office, provide human resources support to IOM Istanbul.
2. Maintain personnel files of National staffs and HR roaster files.
3. Maintain and update overtime record/compensatory leave.
4. Maintain annual and sick leave records in a monthly basis of all staff and give report to supervisors as and when required.
5. In coordination with HR team, prepare Organization chart, excel reports related to staff data’s as and when required by any Unit.
6. Preparation of IOM ID cards and MSP cards for the Mission.
7. Prepare Medical and Non-medical Escort contracts, TA and coordinate for signing and clearance.
8. Maintain and update staff database and assist in reports related to statistics of Staff members.
9. Update UNDSS staff database.
10. Assist in obtaining Security Clearance for visitors and International staff members.
11. Providing assistance in recruitment process (sorting applications, arranging/conducting interviews, conducting reference checks, etc.)
12. Responding to HR queries from staff and coordinate with main office.
13. Ensuring that HR policies and guidelines are updated and filed regularly.
14. Responsible for the role of Time-keeper for PRISMHR.
15. Perform other duties as may be assigned
Education and Experience:
• University degree or equivalent in Business Management, Social Science or related discipline preferred; or an equivalent combination of education, training and experience;
• Minimum 2 years of relevant professional experience in a similar setting & capacity preferred; Demonstrated ability to maintain accuracy & confidentiality in performing responsibilities;
• Demonstrated proficiency with Microsoft Office applications, including Excel, PowerPoint, Good knowledge of information technology and proficiency in Microsoft Office applications especially Excel, Word, PowerPoint and Publisher;
• Previous work experience in international organizations and service industry companies would be an advantage; and,
• Strong interpersonal and intercultural skills with an attention to detail.
• Fluency in Turkish and English is required. Working knowledge of Arabic is advantageous.
