General Functions:

 

Under the overall supervision of HR Officer in Gaziantep, and under the direct supervision of the Senior HR Assistant, the incumbent will provide human resources support to IOM Turkey offices. 

In particular, he/she will:

 

Major Duties and Responsibilities:

 

1. Provide clerical assistance for the smooth running of the Human Resources processes and activities in the office.

 

2. Provide general assistance in recruitment processes including but not limited to circulation of vacancy announcements, interview arrangements, preparation of materials necessary for the interviews and technical test, support with reference checks, sending out messages to candidates, etc.

 

3. Assist in Maintaining orderly personnel files of staff, instructions, bulletins and other documents in the Human Resources Unit (electronic and/or hard copies).

 

4. Perform assigned role(s) in PRISM HR, paying special attention to data consistency and accuracy; input and maintain data based on approvals and supporting documentation; generate reports, contract extensions, personnel actions, and other related documentation, updating leaves and support in time keeper role in SAP.

 

5. In coordination with HR team in Ankara and Gaziantep and Program Managers, provide support to update the HR module of the IOM Turkey Data Portal relating to staff information and the related organizational chart.

 

6. Assist in obtaining IOM ID cards and MSP cards for the staff in the area of responsibility (AoR).

 

7. Provide general assistance in preparing contracts for staff recruited on hourly or daily basis.

 

8. Prepare Request for Payment for staff on hourly or daily contracts, interns and consultants in area of responsibility.

 

9. Assist in the retrieval, drafting and formatting of reports, letters, notes and other Human Resources-related correspondence as directed. 

 

10. Support the organization of meetings, training activities and other Human Resources events by carrying out logistical activities such as arrangement of meeting facilities, equipment, materials, preparation of correspondence and drafting and assembling of documents. 

 

11. Provide assistance in reviewing data in attendance monitoring system and draft messages.

 

12. Provide informal translation as needed.

 

13. Perform other duties as may be assigned.

 

 

Required Qualifications:

 

Education: 

 

• High School diploma with three years of relevant experience; or,

• Bachelor’s degree in Human Resources, Business Administration, Psychology or related field with one year of relevant professional experience.

 

 

Experience: 

 

• Proficient in Microsoft Office applications e.g. Word, Excel, PowerPoint, E-mail, Outlook; previous experience in SAP is a distinct advantage;

• Prior work experience with international humanitarian organizations, non-government or government institutions/organization in a multi-cultural setting is an advantage. 

 

Languages: 

 

• Fluency in English and Turkish is required.
