Position: Logistic Assistant

Duty station: Gaziantep Office / Warehouse

Contract duration: 6 Months

Reports to: Logistic Manager

 

ABOUT PIN:

PIN has been working in Northern Syria since 2012, providing emergency relief and early recovery support to conflict-affected communities. Programmes for conflict-affected communities in Syria focus mainly on Emergency Food Assistance, WASH, and Education, in addition to Early Recovery and Livelihoods activities. PIN’s contribution to the Syria humanitarian response is amongst the largest, with an annual turnover of over $30 million, engaging over 350 full- time staff members across Northern Syria and cross-border response hubs in neighboring countries.

 

General Objective:

The recent disasters in south Turkey have has caused displacement and discomfort in the life of dwellers in those areas. This has resulted in the need to help to meet certain basic and urgent needs of the affected people. A distribution activity has therefore been set up in order to deliver aid to those in need or affected by the earthquake within the scope of the project.

 

General Post Description

The Logistics Assistant is responsible for logistics management and supervision in Gaziantep office including warehouses, fleet, and contract writing.

 

Functional and hierarchical reporting lines

The Logistics Assistant is supervised by the Logistics Manager, he/she collaborates with: the logistics & procurement department, finance department and program department.

 

Principal responsibilities AND TASKS:

Warehouse Manamegement

1. Overseeing the reception of orders and supervising the quality control of goods received

-Inspecting the condition of the goods delivered (quality control of packaging and boxes), and drawing the manager’s attention to any problems (damaged packaging)

-Carrying out the count of items received compared to numbers figured on waybill(s)

-Assisting with noting the items received on the stock cards

-Repairing damaged packaging for correct, safe storage

 

2. Assisting with the dispatch of stocked items

-Exiting stock only when there is an order form

-Assisting in the preparation of orders by moving the goods into the order preparation zone

-Assisting in monitoring the quality and quantity of prepared items

-Packaging the goods ready for dispatch

-Assisting with recording the exits on stock cards and project forms

 

3. Storing the goods and ensuring the stock is properly monitored

-Arranging the goods on shelves or palettes (depending on the goods) in an orderly, clean and easily accessible manner

-Assisting Logistician and other Logistic with the monthly inventories, stock takes and consumption follow up

4. Watching over the security of the store

-Checking that all the doors shut properly and all the windows are protected

-Keeping an eye on all persons entering the stock,

 

VEHICLE MANAGEMENT

  • Ensure that all the fees related are payed on time such as highway, cleaning, parking, etc.
  • Following and checking vehicles weekly cleaning, vehicle weekly checklist
  • Logbooks archiving and crosscheck, fuel consumption check and planning
  • Ensure that movement tracker is complete and always updated
  • Car maintenance requests crosscheck and reporting. Ensure that all regular maintenance is done on time by car rent supplier

 

Movement SUPPORT

  • Organizing transportation from and to airports and make sure that there is always one backup option for transportation
  • Organizing visits and newcomers trips and transportation and make sure that all the documents, tickets, phones, information, maps etc. are available for them
  • Organizing accommodation for visitors and newcomers and other staff ad hoc make sure and organize proper allocation of flats and guesthouses (accommodation) in respect to needs and requests of all the staff
  • Be available on the mobile phone during the period of the transportation or visitors or newcomer’s arrival of departure to make sure that everything was done successfully
  • Movement coordination and reporting of the Gaziantep staff, cars. Equipment etc.

OFFICE SUPPORT

  • Responsibility for keys (cars, offices, guesthouses and flats). Responsibility that in office there is enough spare keys at specific place with full description
  • Coordination of the movement of staff, documents and assets for Gaziantep office
  • Collecting quotations for small purchases
  • Prepare and keep available a list of companies related to any repair request (locksmith companies, taxis available 24/7, plumbers/electricians available 24/7 in case of emergency

Other

  • Other tasks assigned by employee’s Line Manager corresponding to actual needs of the mission, programs, and projects
  • Substitute relevant colleagues (fully or partially) during their absence when assigned by employee’s Line Manager
  • Understand and adhere to the mission’s National Staff Handbook, PIN Code of Conduct, PIN Key Policies and relevant guidelines.

 

REQUIREMENTS:

- University degree

- 1-2 years of experience with NGOs in similar positions

-Language proficiency: Good level of English, Turkish will be an asset

-MS Office proficiency

-Ability to work well under pressure.

-Adhering to the organization’s vision, mission, goals, and objectives; commitment to humanitarian principles and actions.

-Ability to prioritize tasks and synthesize.

-Maintains a friendly, respectful, and equitable team environment.
