Under the overall guidance of the Chief of Mission and under the direct supervision of the Snr Logistics / Procurement Officer in Ankara, the incumbent will be responsible the following tasks:
Major Duties and Responsibilities:
1. Assist with coordinating the drivers’ daily movements/errands and verifying that all drivers are maintaining their logbooks properly, as well as monitoring the fuel consumption records and service/maintenance
2. Assist in coordination of transportation needs of Ankara Office setting up a proper vehicles dispatch and tracking system
3. Conducting outdoor activities for checking prices, collecting bids, shopping with cash, handing over commodities to the beneficiaries, etc.
4. Arrange for meetings, workshops, trainings, etc, at the office premises.
5. Perform onsite maintenance to Ankara Offices when required, including electrical network, lighting fixtures, water and sewage system, furniture, carpentry, garden, A/C system, etc.
6. Coordinate and monitor the work of the external contractors when conducting office related maintenance works.
7. Assist the staff with movement of office equipment and furniture.
8. Conduct regular inspection of office premises and ensure functionality of the entire office and its equipment.
9. Follow up on the kitchen needs/supplies, office needs/supplies, stationery and cartridges of Ankara Office and replenish when needed. Ensure there is no undue overstocking or loss.
10. Archiving system update and management with proper filing labels. Ensure that all procurement and fleet files are accurately documented and arranged for secure and systematic filing of all logistics related documents, contracts, etc.
11. Undertake any other duties within the incumbent’s capabilities that might be assigned.
Education and Experience:
• Degree in business administration, Logistics, supply chain management, or any other related fields with two years of relevant experience or School certificate with four 4 years of relevant experience.
• Fluency in Turkish & English is required.
