TERMS OF REFERENCE

Title:  Project Assistant 

Department: Programs

Location:       Gaziantep with frequent travel to project locations

Reporting to: Project Officer

ABOUT Relief International.

Often, RI is the only organization providing assistance to highly vulnerable communities. 

RI invests in four broad program sectors:  Economic Opportunity, Education, Health, and Water, Sanitation and Hygiene.  We design our programs to incorporate The RI Way:  local participation, integrated programming, the development of civic skills, and complementary partnerships including with local NGOs, governments, and the private sector.  RI supports solutions that reinforce and improve upon existing in-country systems. Where such systems do not exist or are chronically underperforming, RI’s crisis response lays the foundation for long-term, sustainable change. 

Position Summary.

Under the direct supervision of the Project Officer and the guidance of the Program Manager, the Project Assistant will support the overall day-to-day management of the project(s) assigned collaborating with program team,  support departments and implementing partners

Key Responsibilities and Duties.

Project Management

  • Assist the Project Officer and the Program Manager in planning, monitoring and implementing the assigned project
  • Assist the Project Officer and partners in ensuring activities are in line with the approved project proposal, budget and implementation plan.
  • Assist the Project Officer in following up the work plans, budgets and spend down plans to ensure accuracy of action
  • Assist in the continuous supervision and monitoring of project activities, regularly evaluating progress of the outputs and targets (through on track/off track assessments).
  • Assist in preparing/raising procurement requests (PRs) as needed based on project procurement plan/spend down plan.
  • Assist in drafting of donor narrative reports and other internal program reports including communication material
  • Assist RI’s partners to achieve agreed targets and activities and build and maintain healthy relationship with them
  • Assist the Project Officer in monthly reporting packs review and follow up.
  • Perform other tasks and duties as requested by the management.

Communication and Coordination

  • Develop and maintain regular and transparent supportive communication structures
  • Represent RI in coordination meetings as per line manager and/or management request
  • Assist in developing and maintaining strong transparent relationship with the municipalities and other authorities in the project locations as needed.
  • Assist in facilitating the communications with municipality and government stakeholders in regards to RI’s program activities.
  • Assist the Project Officer in facilitating the regular coordination meetings relevant to the project; s, including organizing meetings, taking minutes of meeting, supporting in the development of presentations and relevant documents for internal and external meetings as requested

Other related tasks that may from time to time

Safeguarding

  • Uphold and promote RI’s commitment to ensuring the safeguarding and safety of the vulnerable communities we serve.
  • Consistent with RI’s safeguarding and protection policies, ensure your job related activity and practice is compliant with safeguarding standards.

Experience and skills required for the role.

  • Bachelor and/or Master’s degree in a relevant field;
  • Minimum two years of experience in project management, preferably in health related programs
  • Knowledge and familiarity with donor regulations (ECHO, BPRM, USAID, etc.);
  • Fluency in English and Turkish, Arabic is an advantage
  • Demonstrated ability to manage multiple priorities, deadlines, tasks efficiently;
  • Excellent time management skills and resourcefulness with strong attention to detail
  • Excellent analytical and organizational skills, and ability to think critically and creatively;
  • Excellent interpersonal skills, including patience and diplomacy;
  • Must be capable of working both individually and as part of a team.
