Supply Chain Assistant

Shafak was officially established on 10-10-2013 (registration no. 27-016-129). It was founded during the early months of the Syrian Crisis in 2011. At its core, Shafak is a grassroots NGO that was formed by Syrians for Syrians, with the intent of addressing the needs of their life with dignity, equality, and humanity with a focus on sustainability and autonomy.

Shafak is an impartial, independent, non-profit NGO that exists for the express purpose of providing humanitarian services to vulnerable people regardless of political or religious affiliations and in the long run to contribute to recovery and rebuilding the society on a freedom, justice, and equality basis.

Reports to; Supply Chain Officer - HQ

KEY RESPONSIBILITIES:

  • Routing copying and circulation of quotes, bids and proposal for evaluation.
  • Assist with the coordination with the selected bidder to ensure completion of administrative processes including Bid Security, contract award notice and that contract documents are distributed accordingly.
  • Assist with managing the administrative process throughout the duration of the preparation of the all documentation until the award of the contract.
  • Support procurement processes, including drafting/reviewing RFPs and RFQs, conducting bid analyses and evaluations, drafting procurement contracts, and reviewing contract deliverables.
  • Reviewing and coding the PR’s.
  • Provide procurement & legal support regarding to cross-border transportation.
  • Communicating with the suppliers and conducting Quality Check before shipment.
  • Follow up on the procurement process of related PR’s.
  • Preparing Quality, Site Visit and Meeting notes and reports.
  • Ensure that all assets are properly numbered and tagged.
  • Other tasks and responsibilities as directed by your Manager.

QUALIFICATIONS AND EXPERIENCE AND ATTRIBUTES

Required Skills and Qualifications:

  • Documented experience of some responsibility for procurement.
  • Good problem solving and organizing skills.
  • Self-starter and able to work under minimal supervision.
  • Strong computer skills in Microsoft packages, including Excel, Word, and Outlook (particular emphasis on Excel).
  • Excellent attention to detail.
  • Trustworthy and honest.
  • Native Turkish speaker.
  • Turkish nationality
  • Good command of English both writing and oral.
  • Strong communication and networking skills.
  • Self-motivated, well organized and ability to multi-task.
