General Functions:

  Under the overall supervision of the Project Support Officer (Community Stabilization) and direct supervision of the Senior Project Assistant (RIF), the successful candidate will be responsible for reception and customer service duties at the Resilience Innovation Facility (RIF) located at Gaziantep University.

Major Duties and Responsibilities:

           Respond to inquiries of callers or visitors, answering and re-routing telephone calls; keeping records of important call and visits.

  1. Responsible for maintaining a clean and organized reception area.
  2. Ensure that the reception area is always staffed during regular business hours and meal breaks;
  3. Handle the reservation of FabLab space for official meetings and events.
  4. Receive, sort and record deliveries to and from FabLab.
  5. Provide general administrative support through proper office management, housekeeping, completeness and readiness of office supplies.
  6. Monitor and maintain the FabLab premises which includes scheduling of pest control, preventive maintenance of office equipment and utility needs (i.e. indoor plants, drinking water, fumigation, fire extinguishers)
  7. Provide general office supplies and requirements. Receive and check accuracy of deliveries and conduct year-end inventory.
  8. Inform beneficiaries of upcoming activities and trainings vis phone call. Conduct follow up calls for beneficiary feedback.
  9. Ensure that registration on the form is filled for any visitor entering the RIF, including for training, taking a tour, using equipment etc.
  10. Monitor CCTV to ensure that equipment and spaces are used properly and inform management of any unauthorized access to facilities and tools.
  11. Perform any other duties as may be assigned by the supervisor.

 

Required Qualifications:

Education:

  • Bachelor’s degree from an accredited academic institution with two years of relevant professional experience or,
  • High school diploma with four years of relevant professional experience.

Experience:

  • Previous experience working in reception or customer service.
  • Consistently approaches work with energy and a positive and constructive attitude;
  • Proven ability to responds positively to critical feedback.

Languages:

  • Fluency in Turkish and Arabic is required.
  • Working knowledge of English is advantageous.

Only candidates residing in either the country of the duty station or from a location in a neighbouring country that is within commuting distance of the duty station will be considered. In all cases, a prerequisite for taking up the position is legal residency in the country of the duty station, or in the neighbouring country located within commuting distance, and work permit, as applicable.

This is a local position and applications from candidates for non-Turkish citizens holding a valid residence permit residing in Türkiye might be considered.
