Job Title: Secretary and Public Relations Officer.
Summary of the position:
This position is responsible for providing daily administrative support through secretarial tasks and developing the organization's public relations with various stakeholders, including government institutions, local and international partners. The employee will be responsible for organizing administrative activities, preparing minutes and reports, as well as representing the organization in official visits and events.

Administrative dependency : The secretary and public relations officer works under the supervision of the Executive Director or any relevant authority.

Gaziantep, Turkey, with the possibility of travel within the organization's operational

Job duties and responsibilities :
- Organizing and scheduling daily appointments for the management.
- Answering phone calls and directing them to the appropriate departments.
- Responding to inquiries from visitors and reviewers.
- Writing and organizing minutes and decisions for the Board of Directors.
- Following up on the implementation of the Board's decisions with the relevant departments.
- Organizing and conducting internal and external meetings.
- Preparing documents and presentations for meetings.
- Coordinating with external parties to arrange and document meetings.
- Managing postal and electronic communications.
- Organizing and documenting the management’s files and related documents.
- Monitoring daily administrative tasks and providing regular status reports.
- Keeping records and files related to meetings and decisions.
- Arranging official travel for staff, including flight and hotel bookings.
- Visiting relevant government institutions and participating in meetings and discussions.
- Strengthening relationships with partners, beneficiaries, and government institutions.
- Keeping up-to-date with work-related legal regulations and developments.
- Coordinating with internal departments regarding scheduling and logistical arrangements.
- Providing administrative and logistical support for projects and programs.
- Writing monthly and annual reports on the organization's activities.
- Preparing official correspondence and reports for government bodies and donors.
- Organizing events and special occasions for the organization.
- Managing and organizing the internal office system.
- Working to improve the organization's image in the community through public relations.
- Preparing and distributing invitations for conferences and events.
- Assisting in drafting press releases and media publications.
- Coordinating with the media to enhance public relations.
- Maintaining ongoing communication with local and international partners.
- Assisting in organizing seminars and workshops related to the organization.
- Updating contact details for employees and partners.
- Providing support in organizing cultural and community activities.
Qualifications and requirements:
- A university degree in management or a related field.
- Previous experience in secretarial and public relations roles.
- Excellent communication skills (both written and spoken).
- Ability to handle multiple tasks and manage time effectively.
- Proficiency in using computer programs such as Microsoft Office.
- Turkish Citizenship only.
- Experience in dealing with government institutions and partners.
- Ability to write official reports and correspondence
- Turkish citizenship is required.

- Ability to handle multiple tasks efficiently and in an organized manner.
- Time management skills and the ability to prioritize tasks to ensure optimal performance.

- Proficiency in writing in Turkish, Arabic, or English (at least one of these languages must be advanced).

Languages:
The native language must be Turkish.
Proficiency in Arabic or English at an advanced level (both written and spoken).
