General Functions:  

Under the general guidance of the Information Management (IM) Coordinator, technical supervision of the Senior IM Associate, and direct supervision of the assigned Programme Manager, the IM Associate assists in the production and dissemination of information working closely with the relevant teams within IOM Gaziantep sub-office and collaborate with external stakeholders to ensure the availability and accuracy of implementation/assessment data. The position aims to strengthen the country mission's data management systems and facilitate data collection, analysis, and reporting. The IM Associate will operationalize data standards developed at the central level in field operations, compile data and analyze information from all populations of concern.

 

Major Duties and Responsibilities:           

  1. Data Gathering, Analysing, Staff Support and Encoding
    1. Prepare, enter and contribute to the analysis of data received from mission units and sub-offices into its corresponding standardized templates/database, follow up on pending data with all departments.
    2. Help identify inconsistencies, inaccuracies and omissions in data submitted by sub-offices and communicate proactively with sub-offices to verify accurate data submission.
    3. Assist in the development and operation of databases currently being implemented by the mission and encode data while verifying accuracy and integrity.
    4. Resolve data entry issues and provide information to sub-offices or main offices on common challenges and questions in coordination with other team members. Assist programme staff with their concerns and document issues for the Information management unit to review later.
  2. Staff Training in IOM Turkiye IM data collection templates usage
    1. Assist in the development of training materials and in conducting training of IOM programmatic staff and newly hired staff. This includes guiding new employees on proper data entry, definitions procedure, and reporting schedules.
    2. Attend organizational meetings as a member of the IM Team
    3. Travel to sub-offices as required providing guidance on data entry and system use.
  3. Data Protection
    1. Support the application of data protection policies and adhere to the procedures established for requesting data changes.
    2. Support the quality control during data encoding and correct format errors, spelling or duplicate entries as needed.
  4. Data Management and Testing
    1. Support the development and maintenance of a Beneficiary Management database
    2. Support the development of reporting tools for tracking Project indicators and implementation of activities at various administrative levels
    3. Support the unit in creating and maintaining Kobo data collection templates
    4. Schedule and conduct tool reviews to help assess if they are achieving the intended outcomes.
    5. Support the testing and tracking of new/requested changes in the tools and create a proper referral system and documentation.
  5. Data Report and Data Visualization
    1. Assist in collecting data and information to produce statistical reports for internal and external use of mission departments, units and other identified stakeholders, as requested.
    2. Support the designing of reports and include tools that can help end users easily digest the data, such as statistics, graphs, images and lists.
    3. Support the distribution if reports via shared software, email, chat, or online or a face­to-face meeting presentation.
    4. Perform other assigned tasks.

 

Required Qualifications:

Education:

  • Bachelor's degree from an accredited academic institution preferably in Computer Science, Media or Social Sciences or any discipline related to Information Management from an accredited academic institution with three years of relevant professional experience; or
  • High School diploma with five years of relevant professional experience;

 

Experience:

  • Proven experience managing and utilizing business intelligence (BI) software.
  • Proven experience using computer programs and databases (e.g. Power BI, Microsoft Excel, Microsoft Access, and other enterprise database system)
  • Experience in information management within the areas of emergency response, humanitarian assistance, development and migration will be an asset;
  • Previous experience working with an International Organization, UN agencies or NGOs;
  • Proven ability to work under stressful conditions.
  • Proven experience in the Region.
  • Familiarity with data mining techniques and the ability to interpret and manipulate large-scale migration datasets effectively.
  • Capability to develop protocols for data collection, validation, and verification to maintain data accuracy and consistency.
  • Proficiency in data visualization tools (e.g., Tableau, Power BI) to create compelling visual representations of programmatic data for diverse stakeholders.
  • Knowledge of Power Apps is an advantage

 

Languages:

  • Fluency in English is required.
  • Working knowledge of Arabic and Turkish is advantageous.
