Overall purpose of the role: Provides administrative and/or technical support in country operations for Supply chain related issues.

Geographic Scope: Field (Kahramanmaraş)

This role has a field focus but still ensures compliance to DRC procedures and guidelines within the country. The role contributes to the development of country strategies, which are translated into action plans and day-to-day tasks.

 

Duties and Responsibilities:

Administration and Filing

  • Timely and duly prepared elements of procurement plan for items, goods and services and raising related PRs, preparing RFQs, etc.
  • Ensure that all orders are tracked from point of planning and request through to final receipt
  • Prepare the relevant documents for the cases of procurement of goods, services and works
  • Assistance in evaluation of bids and proposals and make sure the bids evaluation report, technical evaluation, minutes of negotiations and negotiated contract in selection of consultants contain all the facts and information required to justify the recommendations made in the report.
  • Assist in the joint verification of procured goods and equipment and to ascertain the items conformity to technical specifications and quantities.
  • Ensure the high quality of items, goods and services received from various suppliers that DRC is working with
  • Overseeing deliveries to beneficiaries and effecting the necessary documentation during the distribution of items
  • Maintaining good communications with supply chain staff in other DRC locations and partner organizations
  • Correctly apply ERP supply chain processes and technical support on DRC’s portal.
  • Provide daily effective support to Supply Chain Officer
  • Check that all assets old and new are properly recorded and tagged.
  • Perform the physical asset check for the duty station
  • Overseeing deliveries to and dispatches from DRC warehouses and effecting the necessary documentation
  • Any other tasks given by the line manager

Fleet Management

  • Assist with Fleet Management tasks on demand
  • Maintain daily vehicle movement schedule. Keep respective records on vehicles assignment etc.
  • Compiling regular fuel consumption reports and monthly vehicle utilization analysis.
  • Supervise the overtime usage of drivers on timely manner

Administrative Support

  • Ensure all facilities, including office buildings are well-maintained, safe, and functioning properly by overseeing repairs and compliance with DRC standards including lease agreements and liaise with landlords.
  • Ensuring all utility payments (e.g., electricity, water, and internet) are made on time.
  • Act as a focal point for support services tasks at project office, including (cargo & mail exchanges in between DRC offices in Türkiye) and managing meeting and accommodation arrangements, and liaising with governmental entities as needed.
  • Act as focal point of the safety related issues of DRC premises and report issues to Supply Chain Manager or Area manager and Safety team at Country office.

 

About you

To be successful in this role we expect you to have diploma or equivalent professional qualification.

Moreover, we also expect the following:

Required

  • Minimum 1 year of relevant work experience.
  • Experience in administrative tasks, including filing systems
  • Excellent IT skills, experience in operating an ERP supply chain system will be a benefit
  • Experience in supply chain management including procurement, transport, asset management, warehouse and stock management
  • Experience with standard public procurement procedures and documentation.
  • Fluency in local language (Turkish)
  • English: Working knowledge
  • Arabic is desirable

We offer

Contract length: 9 Months (The duration of the contract is subject to funding approval)

Band: I – Non-Manager

Designation of Duty Station: Kahramanmaraş Office

Start date: 01.04.2025
