Position’s General Description:
The Procurement Officer supports efficient and compliant procurement operations to meet the organization’s needs in Turkey and Syria. He/she coordinates closely with program and field teams to manage procurement requests, ensuring timely sourcing, and adherence to procurement policies. Additionally, the Procurement Officer oversees local procurement processes, conducting market assessments and maintaining vendor records for quality and reliability. He/she ensures that procurement activities align with donor requirements and internal standards, maintaining thorough documentation within procurement systems.
Tasks, Duties, and Responsibilities:
1. Procure all materials and equipment ordered by the projects in a cost-effective and transparent manner in line with Shafak and donor specific policies.
2. Follow up on procurement processes on the ERP system and make sure you update all procurement processes and attach all related documents.
3. Monitor and update all local procurement activities in the procurement system.
4. Gather offers from potential vendors and regularly update the supplier database.
5. Conduct market assessments for regular program procurements as needed.
6. Work closely with the Finance Department to ensure timely and compliant payments to vendors.
7. Conduct all procurement process under the assigned project and facilitate all related meetings and sessions for tenders, and all other procurement thresholds.
8. Perform other related duties as assigned by the supervisor to support procurement team operations and ensure smooth processes.
9. Ensure procurement files are accurate, and records are complying to Shafak and donor procurement policies
10. Ensure a weekly report on the procurement follow-up is updated and disseminated.
