About Bahar:

Bahar Organization is an independent non-profit and non-governmental organization that provides humanitarian aid to vulnerable people without any discrimination in all its forms. BO is operating to respond to the needs and basic requirements of the humanitarian crisis in Syria in the middle of the affected communities caused by the conflict the basic principles of BO’s activities are to enhance the basic living standards of the affected population by delivering humanitarian aid based on the needs.

Purpose of Position:

The Admin & Reception Assistant serves as a vital support role within the organization, ensuring smooth daily operations and fostering a professional and welcoming environment.   

Job Duties and Responsibilities:

 

  Reception Duties 

  • Act as the first point of contact for visitors, clients, and staff, ensuring a professional and welcoming environment. 

  • Manage the reception area to ensure it is neat, organized, and stocked with necessary materials. 

  • Assist visitors with check-in, issuing visitor passes, and adhering to office protocols. 

Administrative Support 

  • Provide general administrative support to the office, including scheduling meetings, reserving conference rooms, and coordinating logistics. 

  • Handle incoming and outgoing mail, courier services, and deliveries. 

  • Assist in purchasing office supplies, ensuring adequate inventory levels are maintained. 

  • Prepare and distribute memos, reports, and other correspondence as needed. 

  • Coordination and Communication 

  • Coordinate with internal departments to support operational efficiency. 

  • Serve as a liaison between management and staff on administrative matters. 

  • Assist in organizing office events, training sessions, and other activities. 

  • Supervising service staff within the office 

  • Supervising the daily hospitality stock for employees such as tea, coffee, etc. and ensuring their availability on a daily basis 

  • Supervising the stock of cleaning materials and ensuring their permanent availability within the office 

  • Raising purchase requests for hospitality materials and cleaning products 

  • Ensuring the availability of stationery and office supplies for all employees 

Academic Qualification/s and Professional Experience:

  • Bachelor’s degree in business administration / Institute, Office Management, or a related field (preferred). 

  • 1-3 years of experience in reception, administrative support, or a related role. 

  • Familiarity with office equipment (e.g., printers, scanners, phone systems). 

  • Excellent communication and interpersonal skills. 

  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook). 

  • Strong organizational and multitasking abilities. 

  • Ability to work independently and collaboratively in a fast-paced environment. 

  •  

    High level of professionalism and attention to detail.

  •  

    Native in Arabic and Turkish language.

     

    Work Environment and Conditions:

     

  • Willingness to work in a location different from that stated in the contract.
  • Willingness to work for extra hours as necessary.

Evaluation Criteria:

  • Periodic reports submitted to the direct supervisor.
  • Monitoring and evaluation processes conducted by the Organizational Development Department.
  • Reports of attendance, absence, and professional compliance submitted by HR Department.

Safeguarding

  • Actively learns about safeguarding and integrates it into their work incl with external stakeholders and direct reports if applicable.
  • Practices the values of Bahar as detailed in the Code of Conduct and safeguarding policies including respecting the dignity and well-being of community participants and fellow staff members.
  • Holds themselves accountable for making appropriate decisions that impact community members and team members and takes responsibility for their personal and professional behavior.
  • Encourages openness, transparency and communication in their team; encourages team members to make any reports if they have any concerns using internal reporting mechanisms (i.e. Hotline, HR etc.).
  • Demonstrates a high level of integrity and treats others with respect.
